Email rendering, in inboxes that belong to people

Preview tools screenshot your email in a simulated client. They cannot tell you it went to Promotions, arrived with images off, or got clipped three sections early.

Email is the last surface where the rendering environment is genuinely out of your control and genuinely varied. The gap between a preview tool and an inbox is where the expensive surprises live.

What to put in the public brief

Keep the campaign content private until a spot is reserved.

What to put in the private instructions

  1. Say which tab and which folder to check

    Ask them to report where it landed before opening it, because opening from a search hides the placement.

  2. Ask for images-off first

    Most clients block images by default on first contact from an unknown sender. If the email is unreadable without them, that is a finding and not an edge case.

  3. Ask for dark mode explicitly

    Same email, system dark mode on. Ask them to look at logos and buttons specifically.

  4. Ask them to scroll to the very bottom

    Gmail clips messages over a size threshold and replaces the tail with a link. If your unsubscribe is past the cut, that is a compliance problem rather than a design one.

Proof worth requiring

Ask for

Screenshots at each stage — placement, images off, images on, dark mode, bottom of the message — plus the client, the app version and the device.

Do not ask for

Their email password or access to the account. Everything here is observable by the recipient and reportable in screenshots.

When this task type is the wrong tool

If the email is not arriving at all, this is not a rendering problem. Fix authentication and deliverability first, or you will pay several people to confirm the same absence.

If you want to know whether the message persuades rather than whether it displays, that is ad creative feedback applied to an email.
